Winter 23 Extensions

Winter 23 Deferred Final Exams [1] will be written June 12 to 16, 2023. B.Sc. students who are ill, or have other valid grounds to request an extension on a Deferred Final Exam or Deferred Condition, must apply to our office no later than 5 business days after the missed deferred.
Documentation from a health care provider (such as Student Health Services, Counselling Services, family doctor, walk-in clinic, nurse, therapist, counsellor, naturopath, chiropractor, dentist, etc.) may be submitted with your request if desired, but supporting documentation will **not** be required for extensions on Winter 23 Deferred Privileges to be completed later in the Summer 23 semester. If you are unsure if you are eligible for an extension on your Deferred Final Exam or Deferred Condition, then please contact the B.Sc. Academic Counselling Centre [2].
Please complete the W23 Deferred Privilege Request (Extension) [3] form and submit to bscdef@uoguelph.ca [4]. A reminder that Deferred Privileges from the Winter 23 semester must be completed during the Summer 23 semester, or future course registrations will be prevented. Please note that there are only a limited number of extension dates available (all extension dates are in late-June to mid-July 2023).

Please read all of this information carefully. This process applies to B.Sc. students only. Students in other degree programs should contact a Program Counsellor from their degree [5] for instructions. To confirm your degree program, please refer to your My Progress page on WebAdvisor.
Do not write a final exam or complete a final course requirement unless you are confident that you are fit and able to do so. Otherwise, only very limited options exist for academic consideration, none of which are guaranteed.
A Deferred Privilege most commonly refers to a Deferred Final Exam, but may also be a Deferred Condition. A Deferred Final Exam applies when a final exam scheduled by the Registrar's Office [6] was missed. A Deferred Condition applies to situations where the missed work is some other type of final course requirement, such as a final assignment, final paper or take-home final exam. When a Deferred Condition is granted, students will be instructed to contact their course Instructors to make the necessary arrangements for completion, once the deferral has been approved. If a Deferred Final Exam is granted, the exam will then be written according to a deferred schedule set by the Registrar's Office.
If you are unable to write a final exam or complete a final assignment for medical, psychological or compassionate reasons, please submit a completed Winter 23 Deferred Privilege Request [7] form to the B.Sc. Academic Counselling Centre via email (use only the following email address to submit: bscdef@uoguelph.ca [4]). You must use your U of G address (@uoguelph.ca) in order for your submission to be accepted. You will receive an Automatic Reply confirming that your email message has been received. In the subject line of your message, please include your full name and Student ID number.

Requests for Deferred Final Exams/Conditions for Winter 23 must be submitted no later than five business days after the missed final exam or deadline for a final assignment. This would mean that the latest possible deadline for submission for some courses would be May 3, 2023. If for any reason you are unable to meet the five business day deadline, please contact the B.Sc. Academic Counselling Centre [2] immediately to discuss.
All requests will be reviewed by the B.Sc. Academic Review Committee in early May 2023. Once approved by the Academic Review Committee, Deferred Final Exams will be written during the University's official deferred exam period (which is June 12 to 16, 2023). Deferred Conditions will normally be due no later than June 16, 2023 unless other arrangements have been made with the course Instructor. As long as your request is in order (ie: there are circumstances beyond your control on the date in question), you should not anticipate any problems with your request being approved.
** If you have applied to graduate in June 2023, please note that graduation will be delayed unless you can make arrangements directly with the course Instructor to complete the Deferred Final Exam or Deferred Condition and have it graded before the clearance for graduation deadline (May 19th, 2023). Please contact your Program Counsellor immediately for questions. **
Many students contact the B.Sc. Academic Counselling Centre asking how they will know if their request for Deferred Privileges has been officially granted. Details are given below regarding how to check in WebAdvisor.
Once final grades are released on WebAdvisor, “INC” will initially appear instead of a grade for any course that a final exam/final assignment has not been completed. It will remain as "INC" until your request has been reviewed. After the Academic Review Committee has reviewed deferral requests (in early May), “DEF” will replace “INC” if the deferral has been granted. If you see the "DEF" posted instead of a numerical grade, your request has been approved.
If you are granted a Deferred Final Exam, you will also receive an email to your U of G email account - from the Registrar's Office - at least one week prior to the exam period, to confirm and advise you to check WebAdvisor for the day and time of the deferred exam.
The Deferred Exam period is June 12 to 16, 2023.
It is your responsibility to check your deferred exam schedule.
If you are granted a Deferred Condition (for example, a deferred final paper or final assignment), you will receive an email to your U of G email account from the Registrar’s Office, with instructions to contact your Course Instructor to establish the terms of the Deferred Condition (ie: confirm work to be completed, method of submission, etc.).
A Deferred Condition must normally completed by the end of the deferred examination schedule, which would be June 16, 2023.

** Please be aware that if you have applied to graduate, and are granted a Deferred Privilege, this will result in your graduation being delayed. **
The Registrar's Office will set the Deferred Exam Schedule [1] with dates and times that the exams will be completed, when the time comes.
Students identified by Scheduling as residing outside a 150 km (approx) radius of Guelph are permitted to write deferred examinations at an academic institution (high school, college or university) within their own vicinity. Students choosing this option must have the Off-Site Invigilator Form completed by an employee at one of the above type of institutions and forward it to Scheduling. If your request for a Deferred Privilege is not approved, the "INC" will be replaced with a final grade calculated using a grade of zero on the final exam or final assignment.
